How to customise permissions for all cases with pinacos

Say goodbye to complicated role systems! Access controls are not a sign of mistrust, but quite normal if you want to protect sensitive data. For example, it is not a good idea to give new users permissions to delete a case or change sensitive case information. No matter how much you trust someone, mistakes can happen.

That's why pinacos offers a simple but robust permissions system that allows you to customise case permissions according to your own needs. Instead of having to deal with complex tables, you can choose from our carefully selected roles. The purpose of this article is to give you a brief introduction to the roles available on pinacos.

Internal and external roles - you assign roles per case

Roles are divided into two categories: Internal roles and external roles. While internal roles usually have more rights, external roles have very limited access to pinacos. Users are assigned to roles on a case-by-case basis, and the owner of a case can customise the roles according to their needs. To further refine permissions, users can also be given access to registers at three different levels:

  • All permissions
  • Read-only access
  • No permissions

Internal roles in detail

The internal roles are currently divided into a total of eight different types:

  • Owner
  • Case Professional
  • Case Assistant
  • Professional
  • Assistant
  • Co-Professional
  • Co-Assistant
  • Accounting

An owner has full rights to a case. The same applies to case professionals and case assistants. Regular Professionals and Assistants also have the same permissions, except for critical operations such as creating cases or deleting a case. Co-professionals and co-assistants are allowed to work on documents visible to them, but do not have permissions to change case settings or see sensitive case data. Accountants only have access to cost-related functions and data.

External roles in detail

As the name suggests, external users should have very little to do with case details. There are currently a total of three external roles on pinacos:

  • Worker
  • Manager
  • Inventor

Workers can only work on the case documents and nothing else. The same applies to managers and inventors, except that they also have access to certain metadata of the case.
